Grassroots DIY eLearning Toolkit

From weeks to hours without losing quality or adding headcount

The challenge

Requests piled up because teams relied on us to build their learning programs end to end. Our team was small and couldn’t keep pace. Subject-matter experts had the knowledge, but not the how-to for creating video-based training. We needed a simple way to move production to the experts without sacrificing quality.

What we built

A fill-in-the-blanks toolkit that lets SMEs script short, video-based courses and submit clean inputs we can assemble fast. The guide includes:

  • Lesson outlines, learning goals, and “what good looks like” examples

  • Video script prompts, screen-capture checklists, and basic voiceover (VO) tips

  • Built-in mastery checks and quick “try again” loops

  • Brand and accessibility standards baked into the template

We paired the toolkit with brief “how to build” walkthroughs and weekly office hours, so creators get just enough education to ship confidently.

How it works

  1. Pick a template and complete the prompts

  2. Attach raw assets (clips, screens, VO)

  3. Field Learning and Innovation team assembles, polishes, and publishes using the design system

  4. The SME remains owner for updates on a set review cadence

No queue negotiations. Clear entry criteria. Consistent output.

Impact

  • Build time cut from ~25–30 hours to ~4 hours per course

  • Useful content reached teams in days, not weeks

  • Capacity scaled without new licenses or headcount

  • Field Learning & Innovation team focused on flagship programs and governance, while SMEs owned their programs and updates

My role

Defined the pattern, built the toolkit, trained creators, and wired it into our standards, review gates, and versioning so quality stays high as volume grows.
